Cheque Management
Cheque Management tracks the cheque payments learners submit and lets you update each cheque through its lifecycle, from received to cleared or bounced. It sits under Sales → Cheque Management.
Where cheques come from
You do not add cheques on this page. A cheque appears here when you record a payment for a learner using the Cheque payment mode (entering the cheque number, date, and amount). This page is where you then track and update it.
The cheque list
Each row is one cheque, showing:
- Student: name, registration number, email, and contact.
- Parent: guardian details, if any.
- Bank: bank name, cheque number, and cheque date.
- Amount
- Status (see below; a cleared cheque also shows its clearing date).
- Remark
- Actions
Search by name, email, or phone, and filter by date, status, and bank.
Cheque statuses
A cheque is in one of these states:
- Received: recorded, not yet deposited.
- Deposited: submitted to the bank.
- Cleared: successfully realized.
- Bounced: dishonoured by the bank.
- Inactive / Deleted: no longer active.
Updating a cheque's status
- Open the Actions menu on a cheque and choose Status.
- In the Update status dialog, pick the new status.
- If you select Cleared, set the Clearing Date.
- Add an optional remark, then save.
Once a cheque is Cleared, it can no longer be edited or have its status changed from the list; instead, a Receipt action becomes available. Set the status carefully.
Other row actions
- Edit (available before a cheque is cleared): update the cheque number, cheque date, bank, and remark. The amount is fixed and cannot be changed here.
- History: view the full status-change history of the cheque (when it changed, to what, and any remark), a useful audit trail.
- Show Packages: see which course or package the cheque was applied to, and the amount.
- Receipt (once cleared): view and print the payment receipt.
Export
Use Download CSV to export the cheque list (respecting your date and status filters). It appears when there is at least one cheque.
