Roles & Permissions
Roles & Permissions lets you define what each team member can see and do, by creating roles with fine-grained view/edit/delete access per module. It sits under Settings → Security & Compliance → Roles & Permissions.
[!Important] Roles & Permissions is a gated feature. If it is not included in your plan, you will see an upgrade prompt instead of the page.
The roles list
Each role shows its name, description, created date, type (Default or Custom), and how many users are assigned. Use New Role to create one.
- Default roles are built in; you can view who is assigned to them, but you cannot edit, clone, or delete them.
- Custom roles are yours to edit, clone, or delete.
Create a role
Creating a role is a two-step wizard:
- Role Details: enter the Role Name (required), a description, and optionally restrict batch access.
- Role Permissions: set what the role can do.
Setting permissions
The permissions step shows categories (modules) down the side, and for each permission a View / Edit / Delete checkbox.
Edit and Delete require View. Ticking Edit or Delete automatically adds View (and locks it on), and selecting a parent permission auto-selects its sub-permissions. A role must have at least one permission to save.
Save with Create Role (or Update when editing).
Managing roles
From a role's actions menu:
- Edit role
- Users Assigned: see who currently has the role.
- Clone role: duplicate it as a starting point.
- Delete: remove it.
If you delete a role that has users assigned, you must choose a replacement role for them before it can be deleted.
Assigning roles to people
You assign a role to a team member from the Team area (not this page). Create the roles here, then apply them when adding or editing team members.
