Managing AI Companion Learner Seats

Access to the AI Companion is seat-based: only the learners you add can use it. This article covers assigning and removing those seats. It sits under Veda AI → AI Companion → Learner Access.

The Learner Access card appears only when the AI Companion is enabled and you have institute-admin access.

How seats work

Your plan includes a number of AI Companion seats. A badge shows your usage, for example "45 of 100 AI Companion Seats Used". The same badge also appears on the Learners page so you can see usage while managing learners.

Assign seats

  1. Click Manage Learner Seats.

  2. In the drawer, find learners using search (by name, email, or mobile) and the course, batch, date, and (if enabled) category filters.

  3. Tick the learners who should have Companion access.

  4. Click Update Seats.

You will see a summary of what happened, for example how many learners were added, how many were reactivated, and how many were skipped.

[!Important] Learners are skipped when you exceed your available seats. If you see skipped learners, you have hit your seat limit: free up seats by removing learners, or contact support to add more.

Remove seats

Untick learners in the same drawer and click Update Seats to revoke their access. Their seat returns to your pool.

Assign seats to active cohorts rather than your whole learner base. Reclaim seats when a batch finishes so the next cohort can use them.
