Activating & Managing Workflows
This article covers saving and activating a workflow, editing a live one, and managing workflows from the list.
Save vs activate
In the builder header you have:
- Save changes: saves the workflow (it stays Inactive if it was not active).
- Activate Workflow: saves and turns the workflow on so it starts enrolling learners.
Both ask you to confirm. Once active, the button becomes Deactivate Workflow.

Deactivating
Deactivating stops the workflow.
Deactivating removes all in-flight learners from their current step. The confirmation states this. Learners who were mid-journey will exit, so deactivate deliberately.
Editing a live workflow
A running workflow is protected from accidental changes.
[!Important] While a workflow is Active, its steps and trigger are locked. Add/edit controls are disabled with the note "To make changes, please deactivate the workflow first", node delete buttons are hidden, and the trigger drawer is read-only. Deactivate the workflow to edit, then reactivate.
You can rename a workflow while it is active; the rename saves on its own.
Cancelling changes
Use Cancel in the builder to discard unsaved edits and reset the canvas to the last saved version (you will be asked to confirm).
The Workflows list
Go to Marketing → Workflows. The list shows:

- Workflow Name
- Learners (how many have entered)
- Status (Active or Inactive)
- Actions
The list has no search or filters, and there is no duplicate or delete action for a whole workflow. Manage workflows by opening and editing them.
Row actions
Open the Actions menu on a workflow:
- Edit: open the builder.
- Activate / Deactivate: toggle its status.
