Introduction to Workflows

Workflows automate your messaging: when a learner does something (like abandoning a cart or enrolling), the workflow can wait, then send messages and take actions automatically. This article explains what workflows are and what you need before using them.

Where workflows live

Workflows sit under Marketing → Workflows in the left-hand menu.

Workflows list page with status and actions for each workflow.

Workflows vs Campaigns

  • A Campaign is a one-off broadcast you send to an audience once.
  • A Workflow is an ongoing automation: learners enter it when a trigger fires, then move through steps (waits, messages, actions) over time.

This collection covers Workflows.

How a workflow is built

A workflow is a visual flow you build on a canvas by connecting nodes:

  • Trigger: what starts the workflow for a learner (a signal or a segment).
  • Wait: a pause for a set duration.
  • Message: send an Email, WhatsApp, or Push using a template.
  • Action: call an external API or send data to an integration.

Learners move through the connected nodes from the trigger onward.

The flow is linear (a single connected chain). There is no branching or conditional split; each node leads to the next.

Before you can use workflows

[!Important] Workflows is a Power-plan feature. It is available from the Power plan and above. On lower plans you will see an upgrade prompt instead of the module.

[!Important] Workflows use the same messaging base as Campaigns, so they require Notifications 2.0 and, for each channel you send on, a suitable integration.

Statuses

A workflow is either:

  • Active: live and enrolling learners.
  • Inactive: not running.

There is no separate draft or paused state; a workflow you are still building is simply Inactive until you activate it.

A live (Active) workflow is locked for editing. To change its steps or trigger, you deactivate it first (you can still rename it while active). This is covered in the managing article.

Permissions

  • View workflows and analytics: workflow read access.
  • Create, edit, and activate: workflow write access.
  • Delete nodes: workflow delete access.

Admins have full access. The New Workflow button is hidden without write access.
