Email Templates

Promotional Templates page with Add Template button highlighted.

This article covers creating a promotional email template: the sender details, subject, body, and the promotional extras like attachments and an unsubscribe link.

Create an email template

Go to Marketing → Promotional Templates, make sure the channel dropdown is set to Email Templates, and click Add Template. The email builder opens with a form on the left and a live preview on the right. Save with Save and Continue.

Sender Info

  • Integration (required): the email integration to send from. If none is set up, configure one first.

  • Template Name (required): a name to identify the template, up to 50 characters.

  • Reply To Email (required): the address replies should go to, up to 64 characters. It must be a valid email.

For promotional emails, CC and BCC are not used, so those fields do not appear here. This keeps marketing sends clean.

Message

  • Email Subject (required): the subject line, up to 100 characters.

  • Email body: the content, written in a rich-text editor. You can format text (headings, bold, lists, colors), add links, and insert emojis.

  • Placeholders: insert personalization such as the learner's name (covered in Managing Templates & Using Placeholders).

Your institution logo and name are substituted automatically where their placeholders are used.

Attachment

Promotional email templates can include one attachment.

  • Supported types: JPEG, PNG, GIF, WEBP images, MP4 video, and PDF.
  • Maximum size: 100MB.

Turn on Add Unsubscribe Link to automatically add an unsubscribe link at the bottom of the email.

Keep the unsubscribe link on for promotional emails. It is expected on marketing messages and helps with deliverability and compliance.

Save

Click Save and Continue to store the template. You will see a confirmation, and it becomes selectable in campaigns and workflows.
