Payments Received Report

The Payments Received report shows the money your academy has actually collected, transaction by transaction. This is distinct from Sales Overview, which is invoice-based; Payments Received is about cash in.

Open the report

Go to Analytics → Sales & Enrollment and open Payments Received.

Summary cards

  • Total Payments: the total amount collected in the period (in the selected currency).
  • No. of Payments: how many payment transactions there were.
  • Avg. Transaction Value: average value per transaction.

The table

Each row is a payment transaction, with details such as the learner, the amount paid, the earnings (net to your institute after gateway or settlement fees), and the type of transaction (payment or refund).

Refunds appear here as a transaction type, so this report reflects both money received and money returned. Use it to reconcile actual cash flow rather than invoiced sales.

Click a row to open that learner's profile for their full history.

Filters, search, and export

  • Filter by date and the report's available filters.
  • Search for a learner.
  • Download CSV; large exports are queued.

Sales Overview vs Payments Received

  • Sales Overview answers "what have we sold and what is owed?" (invoice/gross, with outstanding and overdue).
  • Payments Received answers "what have we actually collected?" (real transactions, net of fees, including refunds).

Use them together: sales tells you demand and receivables; payments tells you cash.
