Introduction to Events

Events let you run live sessions such as webinars, workshops, and masterclasses, online or in person, and sell or offer them to learners. This article covers how events work, what you need before using them, and the key concepts.

What an event is

An event is a scheduled live activity your learners register for and attend. Unlike a course, an event is not built from modules and materials; it is a single entity with:

  • Sessions: one or more scheduled days (up to five) with start and end times.
  • Pricing: a price per currency (or free).
  • Registrations: the learners who signed up.
  • Attendees: attendance records per session.

Events sit under Products → Events in the left-hand menu.

Before you can use events

[!Important] Events is a Prime-plan feature. It is available from the Prime plan and above. On lower plans you will see an upgrade prompt instead of the module.

Online or in person

Every event is conducted in one of two modes:

  • Virtual Event (online): delivered through a meeting platform such as Zoom, Edmingle Live, GoTo, or a custom link.
  • In person (offline): held at a physical location you specify.

The Overview screen refers to these as Online and Offline.

Single or multiple sessions

An event can be a one-off or span several days. You can add up to five sessions, each with its own date and time. There is no recurring schedule; you set each session manually.

Event statuses

An event shows one of these statuses:

  • Upcoming: scheduled and not yet started.
  • Live Now: currently running.
  • Completed: finished.
  • Expired: its time has passed.
  • Cancelled: cancelled by an admin.

Separately, Visibility shows whether an event is Published or Unpublished.

Status affects what you can do. For example, a Live Now event exposes no row actions, and a Completed, Expired, or Cancelled event cannot be edited. This is covered in the managing article.

The Events module switch

Alongside individual events, there is a module-level switch shown in the header as Events : LIVE or Events : INACTIVE. This controls whether the events area is shown to learners on web and app at all. An event is only visible to learners when this module switch is on and the event itself is published.

Permissions

Events actions are permission-gated: viewing needs event read access, creating and editing need event write access, and deleting needs event delete access. Admins have full access, and instructors can view the detailed report and mark attendance.
