Sessions, Live Classes & Recordings
Sessions, Live Classes & Recordings
Sessions are the individual classes your learners attend, whether live online or offline. This article covers the two kinds of session you can create, the full scheduling form, running a live class, and attaching recordings.
The two kinds of session
| Regular session | Extra class | |
|---|---|---|
| What it is | A class scheduled against one or more batches, on its own or as a repeating series | A one-off additional class added to a single batch that is already running |
| Where you start | + New → Session in the top bar, Schedule Session on Home, or Create Session on the Calendar | A batch's Batch Actions → Add Extra Class |
| Batch selection | You pick the batches yourself | The batch you came from is already selected |
| Can repeat | Yes | Yes, though extra classes are usually one-off |
Both use the same Create Session screen with the same fields. The difference is where you start from and what is prefilled. Sessions the system identifies as additions to an already-scheduled batch are shown with an EXTRA SESSION tag on the calendar.
The Sessions tab

Open a batch and select the Sessions tab. You can filter by course and date range, and export the list to CSV. Each session row shows:
- The session and its start time.
- Attendance.
- Status.
- Topics taught.
- Actions.
Creating a regular session
Where to start
There are three ways to open a blank Create Session form:
+ New → Session in the top bar. This is the quickest route and is available to admins and anyone with scheduling write access.

Schedule Session on the Home dashboard.

Create Session on the Calendar page (+ New → Session, then View Calendar, or open the Calendar directly).

To see a single batch's schedule before you add to it, open the batch and choose Batch Actions → Open Schedule. That shows the batch calendar in a Show Schedule window so you can find a free slot, then create the session from one of the routes above.
If the class belongs to one specific batch that is already running, use Batch Actions → Add Extra Class instead. It opens the same form with that batch already filled in, which saves a step and avoids picking the wrong batch.
The screen is titled Create Session and is split into three numbered sections. Save Session at the top right submits the whole form, and View Calendar next to it opens the calendar without losing your place.
Section 1: Session Details
| Field | Required | Notes |
|---|---|---|
| Session Name | Required for batch sessions | Up to 100 characters, with a live character counter |
| Session Timings | Required | Start date, Start Time, and End Time. End times are offered in 15 minute steps and each option shows the resulting length, for example "11:00 AM (1 hr)". The default is one hour after the start time |
| Instructor | Required | Search and select the instructor taking the session |
Below the timings is the repeat control, which reads Does not repeat by default. See Repeating a session.
Past dates cannot be selected, and the repeat control only becomes active once you have chosen a start date.
Always double-check the time zone. It comes from your organization profile and drives the times learners see.
Section 2: Session Setup & Delivery
Start with Mode of Conducting:
- Online Session: learners join remotely while the instructor teaches live.
- Offline Session: learners attend in person. No recording is produced for offline sessions.
Two notification switches apply to both modes and are on by default:
- Send Confirmation Email: emails all learners as soon as the session is scheduled.
- Session Reminder Notifications: sends automated reminders one day before and one hour before the session starts.
For online sessions you also get:
- Meeting Platform: choose where the class runs. The list depends on your plan and integrations, and can include Live Meetings, Edmingle Live, Goto Webinar, Goto Meeting, Live Webinars, Custom Link (Google Meet, MS Teams, etc.), and Super Live.
- Custom link: if you choose Custom Link, paste the meeting URL. It must be a valid link.
- License Capacity: for meeting and webinar licenses where capacity pooling is enabled, pick the participant capacity, or leave it on Auto (based on enrolled learners).
- Enable Live Waiting Room: learners wait for approval before joining.
- Attendance Threshold: mark learners present only once they have attended a minimum percentage of the scheduled duration. When switched on, enter the Attendance Threshold (%) between 1 and 100. Attendance is recorded only after the session completes.
- Generate shareable link: creates a unique join link when the session is scheduled. You can copy it later from the session on the calendar. A repeating series reuses the same link for every session.
- Guest Access for Learners: lets learners join through that link without logging in. This is only available when the shareable link switch is on, and it turns itself off if you turn the link off.
- Non-Mandatory Session: marks the session optional so skipping it does not affect a learner's attendance percentage.
Finally, for every session:
- Session Topics: a rich text field describing what will be covered, capped at 250 characters. You can generate a draft with AI.
- Class Feedback Form: if class ratings are enabled and your plan includes feedback forms, switch this on and select the form learners see after the class. Your institute default is preselected and marked "(Default)".
If you switch the feedback form on you must also select a form, otherwise the session will not save. The same applies if your topics exceed 250 characters.
Section 3: Select Learners
Choose who the session is for using the Session type options:
- Schedule by Batch: select batches across the courses in your branch. This is the default.
- Schedule by Subject: select learners from a single subject of a batch.
Click the selection button to open the picker:
- Select Batches lets you search batches, filter by course, and see the module and instructor for each. The count of selected batches and the total learners they cover is shown on the button.
- Select Subjects lets you choose a batch and subject, then either Select all learners of this batch or Select learners manually.
Selected batches appear as tags you can remove.
[!Important] Batches cannot be changed after a session is scheduled. To move a session to different batches you have to delete it and create a new one.
Repeating a session
Use the repeat control under Session Timings to turn a single class into a series. The presets are Does not repeat, Every Weekday (Mon-Fri), Daily, Weekly, Monthly, and Custom. Choosing any of them opens the Custom Recurrence window prefilled with that pattern, so you can fine-tune it:
- Repeat Every: a number from 1 to 10, then Day, Week, or Month.
- Select days: for weekly patterns, tick the weekdays. At least one is required.
- On day: for monthly patterns, the day of the month (1 to 31).
- Ends: either On a specific date (up to 12 months from the start date) or After a number of sessions (up to 60).
A live summary at the bottom tells you exactly what will be scheduled, for example "5 sessions will be scheduled every Monday and Wednesday starting 12 Jan 2026". Save it and the repeat control shows that summary.
Recurrence cannot be changed on an existing session. Set it up correctly when you create the series.
Saving, and what happens if there is a clash
Click Save Session. On success you see "Session Created Successfully" and land on the calendar. If you switched on the shareable link, a window shows the link with a Copy Link button first.
If the slot conflicts with something, the platform stops you and explains why. Each warning offers Force Schedule if you want to go ahead anyway:
- Tutor Not Available: the instructor is already booked in that slot.
- Students have another class: some learners have a conflicting class, and the clashing sessions are listed. This also appears if the session looks like a duplicate of one already scheduled at that date and time.
- Batch Schedule Conflict: the listed batches have overlapping sessions.
- MultiDay Class: the timings span more than one day.
Adding an extra class to a batch
Open the batch and click Batch Actions → Add Extra Class.

The Create Session form opens with Schedule by Batch selected and that batch already added as a tag.

Fill in the name, timings, instructor, and delivery settings exactly as above.
Click Save Session.
The batch tag is not locked, so you can remove it or add more batches if the extra class covers several groups.
Add Extra Class requires batch write access. Open Schedule is also available to instructors.
Running a live session
For live sessions, each row offers:
- Sign In: mark yourself present and record the session start.
- Join Session: open the live class.
Attendance reports from your meeting provider can be pulled into the session afterwards.
Session lifecycle actions
From a session's Actions, on the Sessions tab or from the session on the calendar:
- Edit: change the session. For a repeating series you choose This session, This and upcoming session, or Custom for a date range.
- Duplicate: open a new Create Session form prefilled from this one.
- Reschedule: move it to a new date or time. For a series you choose This session only or This and all upcoming sessions.
- Cancel Session: marks it cancelled with a strikethrough on learner and instructor calendars. You can add an optional message.
- Delete Session: removes it from learner and instructor calendars entirely.
- End Session: closes out a running session.
- Reset session.
- Send Reminder to learners.
- View Attendance, Download Attendee Report, Download Poll Report.
- Upload and Replace Recording.
- Add to Calendar: Google, Yahoo, or an .ics file.
Once a session has started or finished, only its Session Name and Session Topics can be edited. Everything else is locked.
Recordings
You can attach a recording to a session so learners can watch it later:
- Upload a recording file, or
- Provide a video URL (YouTube or Vimeo).
You can also replace an existing recording. Learners then access the recording from the session. To manage recordings across every batch in one place, see Session Recordings.
Add the recording as soon as a live class ends. Prompt access keeps momentum for learners who missed it and reduces "where's the recording?" support messages.
Permissions
- Creating and editing sessions needs scheduling write access. Admins and instructors have it by default.
- Viewing the calendar needs scheduling read access.
- Cancelling and deleting sessions is a separate permission from editing.
- Signing in and ending sessions, sending reminders, and downloading reports each have their own permission.
- Meeting platforms, license capacity, and the class feedback form depend on your plan and integrations.
